Terms & conditions for courses, and Code of Practice

We acknowledge and are guided by The Education (Pastoral Care of Tertiary and International Learners) Code of Practice (the Code).

Our Learner Support Policies and Procedures outlines the key elements of the Code, as well as providing information related to our procedures to support and protect learners engaged in our courses.

We also carry out and document continuous self-review of our performance against the required outcomes and process of the Code. You can read our Self-review report 2025.

Most courses require fee payment to be enrolled. Some learners may be eligible for a funded place on certain courses, and some courses have no fee. Browse our courses and workshops for individual course costs.

Prices are subject to change without notice. Courses will be charged at prices prevailing at the date of application. Unless otherwise stated all prices quoted will be in New Zealand dollars and are inclusive of Goods & Services Tax (GST).

Unless prior arrangements have been made, where fees apply, a course registration will not be confirmed until the course fee has been paid in full by the closing date of registration.

Full payment of the course fee is required upon enrolment unless otherwise specified.

Preferred payment is by credit card. Please contact us if you require an invoice prior to making payment.

Some participants may be eligible for a funded place. Eligibility criteria are set out on the course page. 

If you are eligible for funding, fill out the relevant section on the registration page. We will contact you to advise if you have been granted a funded place. 

The number of funded places per course are limited. If there are no funded spots available, you may be able to instead pay by invoice, or we can advise you when further funding will be available. 

If you are not eligible for funding, full payment of the course fee is required upon enrolment. Payment must be made by invoice.  

To request an invoice, email ptdadmin@sexualwellbeing.org.nz and provide the following details:

Name of the person/organisation paying for the course
Email address for the invoice to be sent to
Name/s of the learner/s on the course
Email address/es of the learner/s on the course
Organisation where learners are employed
Address 

If you are paying your own fees by credit card, you must select the LEARNER option on our website to complete payment.

If your employer will be paying your fees by credit card, they must select the EMPLOYER option on our website to complete payment.

If you or your employer will be paying your fees by invoice, you must request an invoice by emailing ptdadmin@sexualwellbeing.org.nz, and provide the following details:

Name of the person/organisation paying for the course
Email address for the invoice to be sent to
Name/s of the learner/s on the course
Email address/es of the learner/s on the course
Organisation where learners are employed
Address 

Enrolment is confirmed only after payment is received.

Failure to pay for a course may result in an applicant being declined access to future Sexual Wellbeing Aotearoa courses. 

Sexual Wellbeing Aotearoa will provide a full refund of course fees when:

1. Sexual Wellbeing Aotearoa (the Provider) is no longer delivering or capable of delivering the course for which students are enrolled;
2. the Provider is restricted from operating due to any law, regulation, court order or other notice that restricts their ability to operate;
3. insolvency of the Provider (i.e. bankruptcy or liquidation); 
   the Provider ceases to operate or;
4. NZQA withdraws the Provider’s accreditation to provide a programme;
5. NZQA withdraws the Provider’s training scheme approval; or
6. the Provider does not provide for its obligations as specified within the Tertiary and International Learners Code of Practice.

Sexual Wellbeing Aotearoa reserves the right to cancel or reschedule courses if numbers are insufficient or for any other reason, at its discretion. If a course cannot be re-scheduled or a student is unable to attend a rescheduled course, a full refund of the course fee will be made.

In the event of a cancellation the learner agrees that, apart from a full refund of any fees paid, Sexual Wellbeing Aotearoa is not liable to the learner for any other costs incurred by the learner, in relation to the cancelled course.  

We reserve the right to unenroll people from our Learning Management System if there is no activity within 6 months of registration.

We recognise there may be instances where a learner must cancel their attendance at a course. Our terms and conditions for student withdrawals and cancellations are managed according to course type. 
 
There are three types – please refer to the course type you are enrolled in for a link to our full terms and conditions:

• These are short courses which are completed independently and have no completion deadlines.  
• Withdrawal from, or non-completion, of online courses are not eligible for a refund as they can be completed at the discretion of the learner.

Self-directed online fee-paying courses: there are no refunds of fees for these courses.

When a learner accepted for a course is unable to attend due to exceptional circumstances, a substitute learner from the same organisation may be accepted, provided Sexual Wellbeing Aotearoa has been notified in advance and that the substituted learner meets all eligibility requirements, completes pre-requisites, and consents to conditions for Collection and Use of Personal Information as described in the Learner Support Policies and Procedures. 

Self-directed online courses

We reserve the right to cancel your registration and access to the course in our Learning Management System if the learners have been inactive for 6 months since registration. 

Workshops: face to face and virtual

It is the learner’s responsibility to make themselves available for all sessions and to be aware of the specific terms and conditions related to attendance for their course. 
 
Full attendance is required at workshops to certify completion of our clinical courses. 
 
NOTE: Non-attendance with no prior notification may result in the student being declined entry to future courses.

Sexual Wellbeing Aotearoa undertakes to collect, use, and store the information the learner provides in accordance with the Privacy Act (2020).

All learner information will be used to:  

1. Provide a participant list (where relevant)
2. Inform administrative and reporting requirements within Sexual Wellbeing Aotearoa
3. Advise learners of future courses offered by Sexual Wellbeing Aotearoa
4. Enable Sexual Wellbeing Aotearoa to evaluate their current and future programme offerings 

Accredited clinical courses will also use learner information to:

1. Comply with New Zealand Qualifications Authority (NZQA) records and audits
2. Fulfil reporting requirements to funding agencies (e.g. Ministry of Health)
3. Advise NZQA/National Screening Register/RNZCGP/Employers of completion or non-completion of any training, where appropriate

Sexual Wellbeing Aotearoa ensures student fees are held with Public Trust so that in the unlikely event Sexual Wellbeing Aotearoa is unable to deliver a course to completion, student fees will be protected. This arrangement has been accepted by the New Zealand Qualifications Authority as meeting the requirements of the Education and Training Act 2020 and the Student Fee Protection Rules 2025.
