Sexual Wellbeing Aotearoa provides professional training and development programmes of learning.
Programmes and courses are developed for a wide range of learners and communities of interest. They are delivered in many different ways including face-to-face, on-line, blended and virtually through webinars and similar formats.
Access to learning differs for each course. Most courses require a fee to be paid in order to be enrolled, but some learners may be eligible for a funded place and some courses have no fee.
The Code of Practice should be read in conjunction with the following terms and conditions.

Prices are subject to change without notice. Courses will be charged at prices prevailing at the date of application. Unless otherwise stated all prices quoted will be in New Zealand dollars ($NZ) and are inclusive of Goods & Services Tax (GST).

Payment of fees

Unless prior arrangements have been made, a course registration will not be confirmed until the course fee has been paid in full by the closing date for registration.

Failure to pay for a course may result in an applicant being declined access to future courses.

Student fee protection policy

Sexual Wellbeing Aotearoa ensures student fees are held with Public Trust so that in the unlikely event Sexual Wellbeing Aotearoa is unable to deliver a course to completion, student fees will be protected.
This arrangement is a statutory requirement overseen by the New Zealand Qualifications Authority, as per the Education and Training Act 2020 and the Student Fee Protection Rules 2022.

Course closure, cancellation, or withdrawal

Course closure
Sexual Wellbeing Aotearoa will provide a full refund of course fees when:
- Sexual Wellbeing Aotearoa (the Provider) is no longer delivering or capable of delivering the course for which students are enrolled
- Any regulatory closure of the Provider
- Insolvency of the Provider
- The Provider ceases to operate, or
- NZQA withdraws the Provider’s accreditation to provide a programme
- NZQA withdraws the Provider’s training scheme approval, or
- The Provider does not provide for its obligations as specified within the Codes of Practice for the Pastoral Care on international and domestic students.
Course cancellation by Sexual Wellbeing Aotearoa
Sexual Wellbeing Aotearoa reserves the right to cancel or reschedule courses if numbers are insufficient or for any other reason, at its discretion. If a course cannot be re-scheduled or a student is unable to attend a re-scheduled course, a full refund of the course fee will be made.
In the event of a cancellation, the learner agrees that, apart from a full refund of any fees paid, Sexual Wellbeing Aotearoa is not liable to the learner for any other costs incurred by the learner, in relation to the cancelled course.
Non-attendance is not sufficient grounds for a refund.
Withdrawal or cancellation by student
For all fee paying courses:
- A refund of 75% of the total course fee will be made for cancellations received in writing, ten working days or more before the first day of the course.
- A refund of 50% of the total course fee will be made for cancellations received in writing, between five and ten working days before the first day of the course
- If notice of cancellation or withdrawal occurs less than five days before the first day of the course or the student does not attend, no refund of course fees is available unless in exceptional circumstances
- A refund is not available for on-line courses as access to the course is enabled on payment of the fee.
Applications for a refund of fees must be made in writing to ptdadmin@sexualwellbeing.org.nz and include appropriate evidence of the exceptional circumstances.
Te Whatu Ora-funded courses – cancellation or withdrawal less than 72 hours before the course starts will incur an administration fee of $100 payable by the student. The student or their sponsor will be invoiced in full for the course cost for non-attendance with no notification.
If you have been granted a funded spot on our Certificate in Contraception and Sexual Health course and you decide to withdraw/cancel from the course, you may be invoiced for the full costs of the two pre-requisite online courses if these have been completed.
Failure to pay for a course or non-attendance with no prior notification may result in the student declined entry to future courses.

Attendance requirements

Online courses
Learners will lose access to any on-line course for which they have enrolled if they do not complete the course requirements within the given timeframe (this is available for each). To access the course again, another fee will be required.
Sexual Wellbeing Aotearoa reserves the right to cancel learner registrations in its Learning Management System if the student has been inactive within 6 months of registration.
Workshops: face to face, and virtual
Completion of the course requirements: including full attendance, assignments, assessments and practical elements is required for the certification of attendance or course completion.
These are the learner’s responsibility, with extensions available only in exceptional circumstances.
The National Cervical Screening Unit will be notified of any non –completions of the Cervical Screening Course requirements.
When a learner accepted for a course is unable to attend due to exceptional circumstances, a substitute learner from the same organisation may be accepted, provided Sexual Wellbeing Aotearoa has been notified in advance and that the substituted learner meets all eligibility requirements, pre-requisites and conditions for attendance at the course.
Learners who have been granted a funded place on a course may be liable for the course cost, for non-attendance with no notification.
Non-attendance with no prior notification may result in the learner being declined access to future courses.

Collection and use of personal information

Sexual Wellbeing Aotearoa undertakes to collect, use and store the information the learner provides in accordance with the Privacy Act 2020.
All learner information will be used to:
- Provide a participant list
- Inform administrative and reporting requirements within Sexual Wellbeing Aotearoa
- Comply with NZQA records and audits
- Fulfil reporting requirements to funding agencies e.g. Te Whatu Ora
- Advise NZQA / National Screening Register / RNZCGP / Employers of completion or non-completion of any training where appropriate
- Advise learners of future courses offered by Sexual Wellbeing Aotearoa
- Enable Sexual Wellbeing Aotearoa to evaluate their current and future programme offerings
Learners are responsible for their own workbooks, course materials and related documents provided by Sexual Wellbeing Aotearoa. Once a workbook has been assessed, it will be returned to the learner. Sexual Wellbeing Aotearoa may retain copies of completed paperwork for moderation purposes.
